Gire Go Privacy Policy

This privacy policy explains how we process personal data when you use Gire Go, Gire's app for drivers. It covers what the app collects, why, who we share it with, how long we keep it and what rights you have. How we process personal data in other contexts, such as on our website, when you apply to become a driver or as a customer, is described in our general privacy policy for your market (Norway, Sweden, Denmark, Netherlands).

1. Who is responsible for your data

The Gire company in the market where you drive is the controller for your personal data:

Gire AS, the Norwegian parent company, operates the Gire Go app and platform for all markets. You can also contact us through the support chat in the app.

2. What we collect and why

Your account and profile

Name, email address, phone number, date of birth, home address (including its position on the map) and city. We use this to set up and manage your account, to offer you jobs near where you live, to contact you and to calculate insurance for the jobs you drive.

Activation and verification

Your national identity number, driver's licence details (categories, transmission and expiry date), photos of the front and back of your driver's licence, and a portrait photo. We use this to verify your identity and that you are allowed to drive the vehicles we transport. The licence photos are deleted once your account has been approved.

Company and payment details

Your own company's name, address, organisation number and VAT number, or the umbrella company you invoice through, and your bank account details. We use this to pay you, reimburse your expenses and meet our accounting obligations.

Jobs

The job offers you receive, the jobs you accept and your job history. During pickup and delivery, the app records what you enter: photos of the vehicle, damage photos and descriptions, mileage, fuel or charge level, notes and, where the customer requires it, a signature from the person handing over or receiving the vehicle. We use this to carry out and document the job, to document the condition of the vehicle, to handle damage claims and complaints, and to pay you. The app also shows your statistics, such as number of jobs, distance driven, delays and rating.

Availability

The weekly schedule you fill in (which days you can drive, with start and end locations) and whether you are active or on standby. We use this to plan jobs.

Expenses and fuel

Receipts you upload (photo or PDF), amounts and expense type, and fuelling orders you start at partner stations (station, pump and order reference). We use this to reimburse you and to invoice the customer where applicable.

Location

The app only asks for access to your location while the app is in use. It never collects your location in the background, and we do not track your position during jobs.

  • Your location is used on your phone to show where you are on the map and to sort job offers by distance. This is not sent to Gire.
  • When you search for fuel stations near you, your position or the map area you are looking at is sent to our servers and on to the fuel provider to find stations. It is not saved to your profile, but may be kept for a short time in technical logs used for troubleshooting.

Camera, photos and microphone

The app uses the camera only when you take a photo, for example of the vehicle, a receipt or your driver's licence. For your profile photo, receipts and screenshots attached to feedback, you can also pick an image from your photo library. The app only gets the images you choose, not your whole library. In the support chat you can attach photos and, on iPhone, record voice messages, which uses the microphone only while you record.

Notifications and device

If you allow notifications, we store your device's push token together with the platform (iOS or Android), app version and device model, so we can send you new job offers and updates. The token is deleted when you log out.

Support and feedback

When you chat with our support in the app, we process your messages and attachments together with your name, email address, phone number, region, city, account status and a summary of your job activity (such as the number of jobs and the date of your first and last job), so we can help you. If you send feedback through the app, we receive your message and any screenshot you attach.

Crash reports and diagnostics

If the app crashes or an error occurs, we receive a technical report (such as the error, app version, device model and operating system) linked to your driver ID, but not your name or email address. We use this to find and fix faults.

Legal basis

We mainly process your data because it is necessary to fulfil our agreement with you as a driver (GDPR Article 6(1)(b)). Accounting and tax records are kept to meet legal obligations (Article 6(1)(c)). Documenting vehicle condition, preventing and handling damage, troubleshooting, and improving the app are based on our legitimate interests (Article 6(1)(f)). Notifications, and location, camera and photo access, are only used when you have given permission on your phone, and you can withdraw that permission at any time.

3. Automated job offers

Job offers are sent out automatically. The system picks which drivers are offered a job based on region, your distance preferences, qualifications, customer requirements, how far the job is from your home and your other jobs that day, your availability and whether you have been active recently. Your rating and punctuality are not used. You always decide yourself whether to accept a job.

If you have not driven any jobs for a set period, your account is automatically set to inactive and you are notified by email. You can contact us at any time to be reactivated or to ask for a person to review the decision.

4. Who we share your data with

We never sell your personal data, and we do not use it for advertising or track you across other apps and websites. We share data only as needed for the purposes above:

  • The customer who booked the job (including systems the customer connects to our platform): your name, phone number and profile photo, and the photos, damage information and signatures from the job.
  • The people handing over or receiving the vehicle: your first name and phone number, sent by text message so they can reach you.
  • Gire companies: Gire AS and the Gire company in your market.
  • Service providers who process data on our behalf, under data processing agreements:
    • hosting and storage: Amazon Web Services (EU, Stockholm) and MongoDB Atlas
    • technical logging: Logz.io
    • crash reporting: Sentry (EU)
    • support chat: Intercom (EU region)
    • push notifications: Apple and Google (Firebase)
    • text messages: GatewayAPI
    • email: Mailchimp
    • maps, addresses and directions: Google and Apple
    • customer relationship management: HubSpot
    • internal communication: Slack
    • app updates: Expo
    • driver communication in Denmark and the Netherlands: Monotree
  • Fuel providers such as Circle K, when you search for stations or start fuelling. They receive the search area and the order, not your name.
  • Accounting systems used by the Gire company in your market (Tripletex, Fortnox, e-conomic or Exact Online): your name, email address, address, bank details and receipts, when we pay you or reimburse expenses.
  • Public authorities, when required by law, for example the Norwegian Public Roads Administration (Statens vegvesen) when a job requires temporary number plates.

5. Transfers outside the EU/EEA

We keep your data within the EU/EEA where possible. Some of our service providers are based in the USA or may access data from there, such as Intercom, Sentry, Google, Apple, HubSpot, Mailchimp, Slack and Expo. In those cases we rely on the EU–US Data Privacy Framework or the European Commission's standard contractual clauses, together with additional safeguards where needed.

6. How long we keep your data

  • Your account: as long as you are an active driver. If your account has been inactive for three years, we notify you by email and delete or anonymise your data 30 days later, unless you ask us to keep it.
  • Driver's licence photos: deleted once your account has been approved.
  • Jobs, including photos, notes and signatures: five years after the job.
  • Accounting records, such as payments, expenses and receipts: as long as accounting law in your country requires.
  • Push tokens: until you log out or the token stops working. We keep a log of notifications sent to you for 180 days.
  • Text message logs: three months. Logs of job offers: 60 days.
  • Photos uploaded but never saved to a job: deleted within seven days.
  • Support conversations: deleted when your account is deleted.
  • Crash reports: for a limited period set by our crash reporting provider.

We may keep data for longer if we need it to establish, exercise or defend a legal claim, for example in a damage case.

7. Your rights

You have the right to:

  • get a copy of the personal data we hold about you
  • correct inaccurate data (you can update most of your profile yourself in the app)
  • have your data deleted
  • restrict or object to our processing
  • receive your data in a machine-readable format (data portability)
  • withdraw consent or permissions you have given

Deleting your account: send a message in the support chat in the app, or email the address for your market in section 1. We will delete your account and personal data within 30 days, except data we are required by law to keep, such as accounting records.

You can turn off access to location, camera, photos, microphone and notifications at any time in your phone's settings. Some features will then not work.

If you believe we are processing your data unlawfully, you can complain to the data protection authority in the country where you live or work.

8. Security

Data between the app and our servers is always encrypted (HTTPS). Your login is stored in your phone's secure storage and expires automatically. Access to personal data at Gire is limited to people who need it for their work.

9. Age limit

Gire Go is only for drivers who are at least 18 years old and hold a valid driver's licence.

10. Changes to this policy

We may update this policy when the app or our processing changes. The date at the top shows when it was last changed. If we make significant changes, we will let you know in the app or by email.
